How to I download my audio file(s)?2018-02-26T06:07:37+00:00
Depending on the file size and number of files created for you, we send files via email as an attachment or we will send you a link to your files which will be stored online. You click that link and download your files.
How does the copy writing service work?2018-02-26T06:07:37+00:00
To request that we write your script(s) for you,  select copy writing services on the order form.  Thereafter:

  • You will be prompted to answer 12 questions on the order form. The writer will review the following in order to write  your scripts:
  1. Your answers
  2. Your website
  3. Your competitors websites, if any
  • Within 3 days after receiving your order, you will receive 3 draft scripts to choose from for each script ordered. (applies to cell phone, single, and multiple greetings)
  • Once you approve a script, it will be recorded. We can record up to three times to get the right tone or to eliminate any static, if recorded live, however, once a script is approved, the text does not change.
  • For On Hold Messages you must also answer the 12 questions online, however, a phone consultation will be scheduled to discuss ideas to include in your script.
Can I upload an audio file to my voice mail?2018-02-26T06:07:37+00:00
To find out if you can upload an audio file to your voice mail, contact your telephone service provider. So, if  T-mobile or Verizon provides your telephone service, call and ask them if you have the ability to upload an audio file to your voice mail.

Note: it does not matter what type of phone you have. What is important is what type of TELEPHONE SERVICE you have.

Typically when you first get a telephone service provider and you opt for voice mail, they will let you know that you can upload an audio file because it is a strong selling point for them to get you to buy their service. If you’re not sure, just give them a call and they will tell you.

If  you can upload an audio file, make sure to find out if there are any special formatting requirements and include them on the order form:

  • herz &
  • bit rate
  • anything else

First, answer this question: “how long does a caller typically wait on hold to speak to a customer representative?” Is the answer 2 minutes or 8 minutes? The answer to this question will determine how much text you will write.

Sample 2 minute On Hold Message Structure:

  • A 2 minute On Hold Message  is typically built as follows:
    • Message 1 = 20-30 seconds of talking (50-75 words)
    • 5 seconds of music
    • 5-10 second message thanking the the calling for waiting on the line
    • 10-15 seconds of music
    • Message 2: 20-30 seconds of talking (50-75 words)
    • 5 seconds of music
    • 5-10 second message thanking the the calling for waiting on the line
    • 10-15 seconds of music
      • Total time: 2 minutes
      • # of messages: 2 messages (50-75 words)
      • Music can be played during the entire 2 minutes where the volume is lowered during the speaking parts and raised during the non-speaking parts.
  • Note: the above structure is an example, not the rule. You can choose to have more or fewer messages played during the two minutes.

What should I write?

To determine what content to include in your On Hold Message, start by asking yourself a question: “What would make a caller want to wait on hold to speak to a customer representative? Is it:

  • Products or services that are new on the market?
  • Special discounts available?
  • Information on what makes us better than the competition?
  • Credibility information about our company:
    • how many years we’ve been in business
    • publications/ magazines that have published articles about us
    • awards
    • better business bureau ratings
    • Notable customer feedback from a well known company
    • licenses we hold
    • money back guarantees
  • Information on how we can help the customer achieve their goals:
    • more cost effectively
    • quicker
    • with our high quality products & services
  • Hours of operation

Once you have a list of what you believe would be of great interest to a customer, information that will make them want to STAY ON THE LINE waiting for a customer representative, put pen to paper and start writing.

It’s important that you remember that what is important to you might be boring to a customer to listen to. Because time is money, look at your On Hold Message as entertainment for your customer and draw a balance between promoting your company while entertaining the caller just enough to make them want to stay on the line.

Remember, adding music is another way to keep callers entertained.
